Employers that are covered by the Occupational Safety and Health Administration’s (OSHA’s) record-keeping rule must post a summary of 2024 work-related injuries and illnesses in a noticeable place from Feb. 1 to April 30. Recordkeeping Requirements The OSHA Form 300A, also known as the “Summary of Work-related Injuries and Illnesses,” must be completed by February 1 using data from the previous calendar year. Many employers with more than 10 employees are required to keep a record of serious work-related injuries and illnesses. (Certain low-risk industries are exempted.) Minor injuries requiring first aid only do not need to be recorded. How does OSHA define a recordable injury or illness? How does OSHA define first aid? Maintaining and Posting Requirements Employers must complete an incident report (Form 301) for each injury or illness and log work-related incidents on OSHA Form 300. Form 300A is a summary of the information in the log that must be posted in the worksite from Feb. 1 to April 30 each year. Form 300A summary form must be posted at each job site in a conspicuous area where notices to employees are customarily placed. Copies of the 300A summary should be provided to any employees who may not see the posted summary because they do not regularly report to a fixed location. The OSHA Form 300 Log and the OSHA 300A Summary must be kept for five years following the year that the log and summary pertain to. Also, if requested, copies of the records must be provided to current and former employees, or their representatives. Electronic Submission of Records Employers with 250 or more employees that are subject to OSHA’s recordkeeping regulation must electronically submit to OSHA information from Form 300A (Summary of Work-Related Injuries and Illnesses) by March 2nd, as well as employers with 20-249 employees in certain high hazard industries. NOTE: Employers should know that filing electronically does not relieve them from the responsibility to post the hard copy Form 300A each year. Employers with fewer than 20 employees at all times during the year do not have to submit information electronically to OSHA.
